We develop your Signature Grant Narrative and build your system in parallel over the first month, checking in weekly so each shapes the other. We handle the research, writing, and construction. Your team gathers materials, confirms facts, and joins focused interviews, reviews, testing, and training, shared across the people involved. Plan on about two hours to gather documents and three observation sessions of up to an hour during the build, plus interviews and reviews we confirm before kickoff, and one hour of live training each month afterward.

What are we investing in?

Our grant-writing and systems expertise, delivered through a done-for-you research, writing, and implementation service. How is this like having a grant or development assistant?

It gives your staff practical support for funding research, organization, application planning, deadlines, and first drafts, grounded in our writing and grant-strategy knowledge. Staff can start with organized information and source-grounded content while retaining control of strategy, relationships, and final decisions. This is a capacity-building approach, not a guarantee of employee-equivalent output.

Why does expert writing matter if AI can draft?

Excellent AI-assisted writing starts with excellent source writing and expert guidance. Our writing experts with Ph.D.s and university teaching experience develop the narrative foundation. We configure custom agents and reusable skills with our methods and standards to help your team adapt that writing to new funder questions and audiences, with factual and editorial review.

Will every grant application already be written?

We write your reusable narrative foundation and a concept note for each application in the grant tracker. Notes use available prior-year questions and give staff a starting structure. Your team checks current requirements, develops and verifies the complete application, prepares attachments, and authorizes submission. Full application-writing services can be scoped separately.

Can the system support other development writing?

Yes. We can build dedicated spaces, workflows, and custom agents for agreed priorities such as donor letters/emails, appeals, campaign briefs, and updates, using our writing as the source foundation. Campaign execution, sending, integrations, and additional commissioned writing are separately scoped.

Will our staff have to enter everything?

We handle the initial information entry and organization. At handoff, staff learn how to drag and drop files, copy and paste text, and use AI to help organize information into databases. Staff check entries for accuracy. Automated website or portal imports depend on available access and integrations.

How much staff participation is needed?

We handle the research, writing, and system construction. Your team provides existing materials, confirms facts, and participates in focused interviews, reviews, testing, and training.

For initial planning, allow approximately two hours to gather existing documents and three observation sessions of up to one hour each. Kickoff, program interviews, content review, independent testing, and training require additional time; the amount depends on your programs, available materials, and participating staff. During the following support year, plan for one hour of live training per month, with additional participation as needed to resolve questions and review refinements.

Before kickoff, we confirm the time commitment by role and agree the project lead, reviewers, participation plan, and review calendar. Document gathering and observation are only part of the commitment, and responsibilities are distributed so the work does not fall on one person.

How long does the engagement take?

A one-month build is followed by 12 full months of included training and support. Writing and system development run in parallel with weekly reviews. We confirm scope, source readiness, staffing, and review capacity before agreeing the project calendar.

What happens during the support year?

Your team receives one hour of live training each month for 12 months, plus support between sessions. We use real projects to build confidence, answer questions, troubleshoot issues, and refine the delivered workflows within the agreed scope. Your proposal defines support access and response commitments.

How do you help with change management?

We understand existing staff practices, involve the people doing the work, clarify roles and shared standards, and test the system with them. Training and support continue as staff establish useful habits. We also help develop an AI-use policy with clear information, access, and review rules.

Can we replace our paid grant-search database?

The tailored search tool is designed for that purpose. A major advantage is having grant search, writing, and management together in your AI Grants Hub™. We validate coverage, timeliness, usability, and ongoing costs before recommending cancellation. Specialist research needs may still require other sources.

Can grant searches run automatically?

We can build you a custom agent to run scheduled searches and notify your team about relevant opportunities. We tailor the criteria, frequency, and notifications, test the workflow, and confirm usage costs before launch. Your staff review results and decide what to pursue.

Who controls the materials and system after the support year?

Your organization controls its delivered materials and workspace through its accounts and designated administrators, subject to the agreement and Notion's platform terms. We provide ownership/access handoff and maintenance guidance. Additional consulting is optional, with no required retainer or automatic renewal; platform charges remain separate.

What will we pay for?

Your proposal will include a fixed service fee, payment schedule. Notion, Custom Agent credits, search-data services, and integrations may have separate operating costs. We identify required services and estimate usage before you commit. Whether a separate AI subscription remains useful depends on your team's specific needs.

How do you address privacy and AI use?

We help develop an AI-use policy covering approved tools and information, access, sensitive-data handling, and human review. Notion AI uses third-party subprocessors; Notion states that customer data is not used for model training by default. We review the applicable plan, features, agreements, and settings before sensitive information is used. Read Notion's Privacy Policy and AI security practices.

What if we change platforms?

We include an exit strategy with source documents, exports/backups, and a documented information structure. Exported content provides a starting point; relationships, permissions, agents, integrations, and automations may need rebuilding. No platform's future availability is guaranteed.

Are you training a new AI model?

We configure agents, skills, approved sources, and instructions. We do not retrain or fine-tune the underlying model or guarantee error-free output.

Who reviews AI-assisted writing?

Your staff verify facts, assess reasoning and audience fit, refine drafts, approve final language, and authorize submission or publication. We build those review steps into the agreed workflows.

Will this guarantee awards or a financial return?

We build writing quality, organizational capacity, and practical working support. Funders make award decisions; fit, competition, and application quality also matter. We evaluate operational improvements through actual use rather than promising awards, revenue, or a staffing-equivalent return.
